TRANSPORTATION 

Do I need to book my own flights?
Yes, please book your flights as soon as possible. 

Who will pay for my flights?
Because of the grant, Lausanne will be able to reimburse a reasonably priced economy flight. 

How will I get between Promise Church and my hotel?
We have dedicated shuttles running between Promise Church and each of the hotels for the duration of the gathering both in the morning and evening. The shuttle times are as follows:

Monday: 4:00PM and 5:00PM to Promise Church; 9:30PM return to hotels
Tuesday: 7:30AM and 8:00AM to Promise Church; 10:00PM return to hotels
Wednesday: 7:30AM and 8:00AM to Promise Church; 11:30AM to New York City; 5:30PM from New York City to Graduate Roosevelt Hotel; 9:00PM return to hotels
Thursday: 7:30AM and 8:00AM to Promise Church; 10:00PM return to hotels
Friday: 7:30AM and 8:00AM to Promise Church; 2:30PM return to hotels or drop-off at JFK airport

Should you need to go back to the hotel during the day, you will need to provide transportation on your own (Uber, etc).

How will I get to and from the hotel from the airport?
The event hotels are within a 10 to 15 minute drive from LaGuardia Airport and a 30 minute drive from John F. Kennedy International Airport (JFK).

From LaGuardia Airport – Each of our event hotels has a free shuttle service that you can use upon arrival. Shuttle details will be included in an email just prior to your arrival. You can also take an Uber at your own expense if the shuttle times do not work with your preference. 

From JFK Airport – Due to the distance from the event hotels, shuttle services are not available from JFK to the event hotels. You will need to take an Uber directly to the hotel or an Uber to LaGuardia Airport and then take the shuttle from there. 

What is the best time to arrive to and depart from New York City?
We recommend flying in on 13 June before 16:00 as the registration starts at this time. We recommend flying out on June 17 after 14:00 after lunch.


VISA 

What visa information do I need to know for traveling to the US?
To determine if you will need a visa to enter the United States of America, we recommend that you use the US Department of State’s ‘Visa Wizard’ tool, which can be found online. This will show you the type of visa, visa cost, documents required, and waiting time. 

Should you need a visa, we strongly recommend that you request a letter of invitation from the Lausanne Operations Team. You can either do that through the registration form or by emailing [email protected] with the following details:

  • Name as it appears on passport 
  • Passport number 
  • Passport issuing country 
  • Passport issue date 
  • Passport expiry date 
  • Nationality
  • Date of birth 
  • Sex 
  • Address of nearest US embassy 

HOTEL

Hotel Check-In

Hotel check-in for each of our hotels is at 3:00PM. For those arriving earlier in the day, we did request an earlier check-in but that is not a guarantee. If you would like to know before you arrive, please contact your hotel directly and confirm.

When checking in, please be sure to present your passport or official photo ID as well as a credit card to hold on file. The credit card is simply for any incidentals that may incur at your expense. The payment of your room has already been made.

In which hotel will I stay ?
We have secured rooms in 3 hotels in close proximity to each other. The information in which hotel you are staying was sent to you via Email. If you have not received this information please email to [email protected].

Can I extend my stay in the same hotel?
If you are coming in a few days early or staying later, you will need to make your own hotel arrangements. Lausanne cannot extend the days of your stay. 

In case I would like to extend/move the dates of my stay in the same hotel or room, can I do that?
In this case you will need to work directly with the hotel for the extra dates and without the discount price that we have been able to agree with the hotels upon. We are only able to cover and arrange the set dates of June 12 through June 18.

Where will the gathering take place?
The gathering venue as well as the hotels will be in Flushing, a part of Queens, NY.


PROGRAMME

What will the programme at L4NY look like?
The preliminary programme schedule for L4NY can be found here.

Will Lausanne cover my meals?
Yes, the following meals will be provided and covered by the grant: Monday dinner through Friday lunch. 

Will L4NY include any outings in New York City?
On Wednesday afternoon we will have an opportunity to break away from our meetings and enjoy one another’s fellowship and company by seeing a Broadway show together! 

After our morning session, we will all grab to-go lunches and head into Manhattan for a matinee. If you would like to skip the show, you can explore the city on your own. We will end Wednesday evening together with a special evening dinner experience at the Graduate Roosevelt Island Hotel.


DRESS CODE

What is the appropriate dress code for the meetings and for the Broadway show?
For all Lausanne meetings business casual style is usually the most appropriate. This is also true for the Broadway show, though there are no requirements from the theatre on the dress code.


BROADWAY SHOW

What show will we be seeing on Broadway?
We will be watching The Lion King at the Minskoff Theatre on Broadway.

What health and safety protocols will be in place at the Broadway theatre?
You can view the theatre’s health and safety protocols on their website.

What else do I need to know before going to the show?
You can find information about the show, the health and safety protocols, theatre etiquette and much more on the Disney website.  There is also a $5 discount voucher for show merchandise that will be made available to you on the Whova app.


COSTS

Is there a registration fee?
No, the registration fee is covered by the grant. 

What costs will be covered for the trip?
A very generous gift was given that allows us to cover the cost of reasonably priced economy airfare, hotels, and meals while in New York City for our Lausanne leadership gathering.

If you would like to pay your own way or only partially receive this funding, we can set aside your portion as a donation that will go towards L4 and Lausanne as a whole.

How do I submit a flight reimbursement?
We will provide you with a link via email to the online reimbursement request form. After you have purchased your round-trip airfare, please submit that form and include your invoice or receipt and complete bank or PayPal details.

What about other expenses like vaccinations / transport to the airport?
The grant will cover your flight, transport in NY during the gathering, accommodation, and meals in NY. All further expenses will not be covered.

Covid POLICY 

What is the Covid policy for L4NY?
Covid Policy 2.0 for Lausanne Movement Face-to-Face Meetings and Events (last updated 16 March 2022)

  • Make sure to have a Covid test done at least 48 hours prior to the event.
    • You will need to confirm your results during check in at Promise Church. 
    • We will not require seeing the test, just verbal confirmation will suffice.
  • For those traveling internationally: 
    • Please be aware of the most recent travel requirements for entering the US. 
    • Be sure to also check the list of Covid vaccines currently accepted in the US.
  • Masks will be required during all L4NY meetings. We will provide five KN95-style masks for each participant at the time of check in.
  • If you become sick or suspect you might have Covid while attending the meetings, please go back to your hotel room immediately and quarantine. 
    • Once you are back in your hotel room, contact the emergency contact numbers below for further assistance. 
    • As you wait for further direction, please contact your healthcare provider, and if you are feeling very ill, call 911 for emergency assistance. 
    • If you are traveling internationally, it may be wise to purchase special travel insurance in the event that you do need to seek medical attention. Medical care in the United States can be very expensive if received without insurance. 

We know that these policies can be somewhat inconvenient and burdensome. Because our meetings often include participants from various countries with differing requirements, we have chosen to operate with this policy so that everyone who attends is on even ground. Lausanne’s Covid Policy 2.0 will be reviewed again in May 2022 and could be adjusted based on new information.
